Managing Our Time

Some people are just born with computer skills. They can spend hours in front of the screen without feeling the time passing by. Well, I am not one of them. I have always enjoyed traveling, meeting people personally, talking to them. Of course, these days it is impossible not to use a lot of technology every day, but I tried to do without it as much as I could.

My company decided we all needed to organize our time better. I’m sure a lot of people were slacking on the job, but I sure wasn’t. Besides the laptop and company phone all employees were given when they were hired, the company decided to give us something else, as well. It was a small device, and I must confess I had no idea how that was supposed to help us organize our time better.

They showed us how to use it, and they told us it was necessary to note everything down in it, from contacts to appointments. For some, that was easy, but for me, it was a chore, at least until I understood how it worked. Everything seemed simple enough, from that point on. Because I had so many things to do each day, I sometimes forgot to charge it, but I was lucky to find a car charger for it.

 This is how I got friends with my hp ipaq 211 pda , the gadget that knows everything. The company checks them periodically, so we have to put everything we do into the HP PDA. Some people felt compelled to work extra hard since they’ve got it, but as hard work has always been part of my job, I didn’t have to change anything.

With each satisfied customer your business is likely to win many more customers through recommendations and remember, if you are not taking care of your customers, your competition will.

Online customer satisfaction surveys will help you not only identify problem areas but will also demonstrate to your customers that you care and are proactive in looking for ways to improve the service that you provide.

 

Where to start?

Objective - Before you start creating your survey clarify the objectives of the survey, in that way you will find it easier to decide what are the right questions to ask.

Analysis - Once the survey has been completed consider how you will analyse the answers.

Keep in mind that ‘closed’ questions (where the respondent is asked to choose from a limited number of responses) are easier to analyse than ‘open’ questions (where the respondent can reply in anyway they want).

A lot will depend on the likely volume of respondents, the higher the volume the more important it is to have an easy method of analysing the results.

Opportunity – Keep in mind that as well as obtaining valuable market research data customer surveys are also a good way to advertise aspects of your service that your customers may not be aware of.

The following are some key areas to providing good customer service.

Communication - Do you do anything to help your customers communicate with you?

When a customer telephones is the phone answered promptly; are enquiries about products or services properly handled? A good business will make every effort to ensure that whatever the customers query it is resolved by the right person, quickly, politely and fairly.

If there are reported problems that cannot be resolvable immediately do you promise to respond in a given time period and do you deliver on your promise?

Use a customer satisfaction survey to confirm that your customers find all your staff to be helpful, courteous and knowledgeable.

Location – Do your customers find it easy to visit you, if a physical store, is it conveniently located with good access?

Making it pleasant, making it easy - For a virtual business it is important to ensure that your website is easy to use and aesthetically pleasing.

Physical store or online website, is the store properly laid out, can your customers find what they need and is there sufficient information and help on hand to explain how a particular product works?

The right quality products – In addition to measuring the quality of the service that you provide you should ensure make sure that the products and services that you provide do fully match your customers’ requirements.

Value for money – Cheap or expensive is rarely a good measure, value for money is.

Do your current customers consider the products you sell or the services you provide as value for money, if not, why not?

Speed and attention – Regardless of the type of business most customers will want to be dealt with quickly but attentively.

Are you doing everything you can to avoid any delay?

Customers like to be treated as individuals, how do you treat your customers? Attention is one thing but only if it leads to a quick and satisfactory resolution to the query.

Demographics and Specific issues – Take the opportunity to profile your customers, for example what is their age group and where do they live?

Understand your customers more and you will be able to better target your business.

For customers who have specific problems allow them to provide details and contact details.

 

What next?

Having completed the survey analyze the results.

Trends – Identify common and specific areas where the customer service is failing.

Ask yourself if any criticism is valid, be honest to yourself, is there anything that can be done to properly resolve, or at the very least, minimise the problem?

Training – Are all employees properly trained and do they have sufficient knowledge?

Where customer service training programs have been implemented have they had the desired effect and improved the customer experience?

Follow-up – If a customer who has completed a survey has raised a specific issue ensure that they are contacted and their complaint addressed.

Do not lose the opportunity to resolve a problem and keep a customer.

Continuously Monitor - Make changes and then measure by issuing further surveys.

You can also improve your search by using the “+” operator. That is, if you enter a term like “documentary about business”+ “business books” will show you pages that contain both those topic within the page. 

My last tip is simply to search within one reliable site. You can do this by entering the operator “site:” at the beginning of your search followed by the site name and your keyword.This will produce results from only that site you specify.

Armed with this information there is no reason to spend hours searching for that information no matter how rare it is, whether it is about your internet in - business or information you may need in the near future like how to do a reverse search on a cell phone number.
